We are looking for a positive, self-starter who is ready to jump in and support a variety of directors in the day-to-day management of calendars, meetings, work spaces, creative reviews, and more. As a sr coordinator, you will provide administrative support of a complex nature to the advertising department and several directors in the Global Creative Studio. You should be able to handle non-routine information and carry out activities following general guidelines with limited direction, exercising independent thinking and discretion. 

Summary of Key Responsibilities 

  • Provide calendar support to three leaders
  • Meets with departmental managers to coordinate meetings, assignments and deadlines
  • Provides support for meetings, trainings, seminars and activities for department
  • Serves as primary point of contact for both internal and external inquiries regarding calendaring and responds or escalates as appropriate
  • Assists with onboarding of new partners
  • Proofreads functionally specific materials for accuracy including copy, grammar and layout and makes appropriate edits
  • May prepare charts, tables, graphs and other presentation materials to support functional work
  • Coordinates administrative tasks and projects such as tracking budgets, invoice coding, tracking travel expenses, generating reports and identifying variances, updating databases, etc
  • May manage large mailings or distribution of materials
  • Schedules or coordinates business travel as needed
  • Organizes and maintains filing systems, both electronic and physical
  • May sort and distribute mail
  • May order and replenish department/team supplies
  • Maintains regular and punctual attendance
